Office Manager.

We are a Dutch-speaking company and are looking for a candidate who speaks and writes Dutch fluently.

Your role as Office Manager

As Office Manager, you are the right-hand person to management and a key linchpin within the team. Together with colleagues, you ensure that the organization runs smoothly on a daily basis and that practical and operational matters are handled effectively.

In this role, the emphasis is on supporting, signaling, and executing. You are not ultimately responsible for processes or projects, but you do ensure that tasks are picked up, followed up on, and executed efficiently.

You take work off the management's plate, think along about what's needed, and ensure that tasks don't get stalled. You always do this in close collaboration with the team and responsible colleagues, where everyone contributes to the whole from their respective roles.

 

What will you do?

As an Office Manager, you have a versatile role with tasks in various areas:

Office & Facilities

  • Contributing to a representative showroom and an optimal atmospheric experience for visitors and guests.
  • Collaboration with marketing in organizing external events and internal events at our ‘Park Office’.
  • Providing hospitality to guests, including lunches.
  • Ensuring the optimal operation of workspaces and meeting rooms, including audio and visual equipment.
  • Maintaining contact with external suppliers and service providers, such as IT partners and facility suppliers.
  • Purchasing and managing office supplies.
  • Managing facility matters, including the vehicle fleet.
  • Overseeing maintenance and facility matters within the property:
    • Resolving minor issues and coordinating with external parties when necessary.
    • Contact person for tenants with practical questions and malfunctions.
    • Oversee the cleanliness and presentable appearance of the property and manage the cleaning staff.
    • Performing light administrative tasks related to building and facility matters.

 

Management Support

  • Supporting management in daily and ad-hoc tasks.
  • Taking on operational and organizational tasks that remain undone within the organization.
  • Light administrative and financial-administrative support, in collaboration with the administration.
  • Structure work activities where necessary, without final responsibility for processes.
  • Ondersteunen bij diverse HR-gerelateerde werkzaamheden, zoals het beheren van personeelsdossiers, contractadministratie, agendabeheer en ondersteuning bij werving en selectie.

  • You are strong in communication and dare to take the lead.
  • You enjoy a dynamic work environment and can quickly switch between (ad-hoc) tasks.
  • You like to arrange and organize
  • You can switch between different tasks without stress.
  • You work accurately, are results-oriented, and have an eye for detail.
  • You maintain an overview, even under pressure, and tackle tasks independently.
  • You have a good sense of humor and work with a smile.
  • You are working in a support role without ultimate responsibility for all processes.

 

This is not a role for you if:

  • To bear the ultimate responsibility for all processes or projects
  • To steer or improve processes at a strategic or high management level
  • A management or leadership role is sought

 

This role is ideal if you:

  • Working hours can be flexibly arranged in consultation within the agreed upon hours.
  • Gains energy from a dynamic role where no two days are the same.
  • Functions well in an environment where priorities can shift.

 

Additionally, you have:

  • MBO work and thinking level.
  • Excellent command of Dutch and English, both spoken and written.
  • Good knowledge of Microsoft Office (Word, Excel, Outlook).
  • Experience in a similar role is a plus.
